Kneat is a validation software developer. We enable regulated organizations to move from paper-based validation to intelligent, digitized, paperless solutions.

What personal data we collect and why and how we process it

When you browse our website

  • Purpose: we process it to provide Kneat.com to you, to improve the quality and relevance of our website to our visitors, better understand our customers’ profile, to improve our customer journey and marketing capabilities and to ensure the security of the page (e.g. verify if a user is a bot).
  • Legal Basis: your consent to send you the page you asked us for and to have your usage data processed for analytics purposes. Our legitimate interests to optimize our website, improve our marketing capabilities and our understanding our customers’ profile and to maintain the security of our page, specifically your IP address, as well as our legal duty under the GDPR to ensure the security of processing.

  • Purpose: we process it to deliver our newsletter to you.
  • Legal Basis: your consent to have your data processed for receiving our newsletter.
  • Data Processors: for managing our newsletters we are currently using Hubspot.
  • Third Country Transfers: none directly but our Processor store your data within its data centres both within and outside the EEA/EU.

When you request to book a demo of our software

  • Personal Data: we process your name, business email, business phone number, job title, organisation name and (country level) location.
  • Purpose: we process it to schedule a demo of our software.
  • Legal Basis: your consent to have your data processed for registering you to a demo of our software.
  • Data Processors: for our software demo service, we are currently using Hubspot.
  • Third Country Transfers: none directly but our Processor store your data within its data centres both within and outside the EEA/EU.

When you book one of our courses on Kneat Academy

  • Personal Data: we only process your name and business email.
  • Purpose: we process it to allow you to register to our Kneat Academy courses.
  • Legal Basis: your consent to have your data processed for being registered to one of our courses.
  • Data Processors: for managing the Kneat Academy courses we are currently using Arlo.
  • Third Country Transfers: none. We store your data within the EEA/EU.

When you provide your details to be contacted by us (‘call back’)

  • Personal Data: we process your name, business email, business phone number and (country level) location.
  • Purpose: we process it to allow us to arrange a call back with you.
  • Legal Basis: your consent to have your data processed to be contacted by us.
  • Data Processors: for managing our call back service we are currently using Hubspot.
  • Third Country Transfers: none directly but our Processor store your data within its data centres both within and outside the EEA/EU.

When you contact us for customer support

  • Personal Data: we process your name, business email, phone number and any information that you voluntarily provide in your customer support ticket.
  • Purpose: we process it to provide you customer support.
  • Legal Basis: your consent to have your data processed for receiving customer support.
  • Data Processors: for managing our customer support tickets we are currently using Zendesk.
  • Third Country Transfers: none directly but our Processor store your data within its data centre in the USA.

When you register to one of our webinars

  • Personal Data: we process your name, business email, business phone number, job title, your company name and (country level) location.
  • Purpose: we process it to register you to one of our webinars.
  • Legal Basis: your consent to have your data processed for registering to one of our webinars.
  • Data Processors: for managing the registrations to our webinars we are currently using Vimeo.
  • Third Country Transfers: none. We store your data within the EEA/EU.

When you provide feedback to one of our webinars

  • Personal Data: we process your name, business email, business phone number and (country level) location.
  • Purpose: we process it to record your feedback (if you opt to not leave it anonymously) to one of our webinars.
  • Legal Basis: your consent to have your data processed for having your feedback recorded (if you opt to not leave it anonymously).
  • Data Processors: for managing our surveys we are currently using SurveyMonkey.
  • Third Country Transfers: none. We store your data within the EEA/EU.

When you apply for an open job position via our career page

  • Personal Data: we process your name, business email, business phone number, address, cover letter (optional) and CV (that includes work and educational history), desired salary. Please note that, if you reach the offer stage of our recruitment process, we will verify the information and documentations you have provided, including through confidential reference checks, identity checks and, where allowed, background checks and conduct searches. More detailed information about this processing activity will be provided whether you reach the offer stage.
  • Purpose: we process it to review your job application and to communicate with you during the recruitment process.
  • Legal Basis: your consent to have your data processed for having your job application managed.
  • Data Processors: for managing our recruitment process we are currently using BambooHR.
  • Third Country Transfers: none directly but our Processor store your data within its data centre in the USA.

When you interact with our chatbot

  • Personal Data: we process your name, email address, job title (if provided by the user), company name (if provided by the user), phone number (if provided during the chat), IP address, device information and chat transcripts (including any additional personal information shared by users during interactions). Please do not provide any confidential information or sensitive personal data.
  • Purpose: we process it to allow the chatbot to provide personalised answers to your questions.
  • Legal Basis: your consent to have your data processed for having our chatbot answering your questions.
  • Data Processors: for managing our chatbot we are currently using Salesloft (Drift).
  • Third Country Transfers: none directly but our Processor store your data within its data centre in the USA.

Personal data processed for analytics

In addition to the above-mentioned data processing activities, we process business card details (name, business email, business phone number and job title), IP address and website usage data to carry out analytics whose goal is to:

  • better understand our customers’ profile,
  • improve our customer journey and marketing capabilities,
  • identify potential customers, opportunities, and potential new product areas,
  • optimize our website, and
  • provide us with general business intelligence, including through the use of automated means such as artificial intelligence technology.

To do achieve these goals we use 3rd party analytics service providers (Dreamdata and 6sense).

How will my data be transferred?

It may be necessary to transfer, store and process your personal data in the United States or any other extra EEA country in which we or our affiliates, subsidiaries or data processors maintain facilities.
In this case, we will ensure that:

Minors

Our site, products and services are all directed to people who are above the age of 18. In the event that we become aware that a user under the age of 18 has shared any Personal Information, we will discard such information. If you have any reason to believe that a minor has shared any personal information with us, please contact our Data Protection Team.

What rights do I have over my personal data?
